Terms & Conditions

Please read these Terms and Conditions carefully before making any booking with Astentours. By completing a reservation or purchasing any travel service through our platform, you confirm that you have read, understood, and agree to be bound by these conditions in their entirety.

Definitions & Parties

"Astentours" refers to Astentours Travel Agency, operating at astentours.com, including its employees, agents, and affiliated partners. "Client" or "Traveller" refers to any individual who books, purchases, or participates in any service offered by Astentours. "Services" encompasses all travel packages, tours, accommodation, transportation, and ancillary offerings arranged by Astentours.

These Terms constitute a legally binding agreement and supersede all prior communications, representations, or agreements, whether oral or written, relating to the subject matter herein.

Bookings & Reservations

A booking is confirmed only upon receipt of the required deposit and the issuance of a written confirmation by Astentours. Availability is not guaranteed until this confirmation is issued. Astentours reserves the right to decline any booking at its discretion.

The lead traveller is responsible for ensuring that all party members are aware of and agree to these Terms. By completing a booking, the lead traveller warrants that they have authority to bind all travelling companions.

All personal information provided during booking must be accurate and match official travel documents. Astentours shall not be liable for any losses arising from inaccurate information provided by the Client.

Payment Terms

A non-refundable deposit is required at the time of booking to secure your reservation. The remaining balance is due no later than 60 days prior to the departure date. Bookings made within 60 days of departure require full payment at the time of booking.

Payments may be made by credit card, bank transfer, or other methods specified at checkout. All prices include applicable taxes unless otherwise stated. Currency exchange risks are borne solely by the Client.

Cancellation & Refund Policy

All cancellations must be submitted in writing via email. The following charges apply from the date written notice is received:

Under 30 days before departure 100% — No refund
Refunds, where applicable, will be processed within 14–21 business days. We strongly recommend obtaining comprehensive travel insurance to protect against unforeseen cancellation costs.

Travel Insurance

Astentours strongly advises all Clients to obtain comprehensive travel insurance prior to departure. Coverage should include trip cancellation and interruption, medical emergencies and evacuation, loss of personal belongings, and flight delays.

Astentours does not provide travel insurance and bears no liability for any loss, damage, or expense that adequate insurance would have covered. Proof of insurance may be required for high-adventure or remote-destination itineraries.

Passports, Visas & Entry Requirements

It is the sole responsibility of the Client to ensure possession of a valid passport and all required visas, permits, health certificates, and travel documentation for each country visited. Most destinations require a passport valid for at least six months beyond the return date.

Astentours may provide general guidance on entry requirements as a courtesy, but such information is not guaranteed to be current or complete. Clients must verify all requirements independently with the relevant embassies and official government sources.

Health & Medical Requirements

Clients are responsible for consulting a qualified healthcare provider regarding vaccinations, prophylactics, and health precautions for their destination(s). Certain destinations may require proof of vaccination as a condition of entry.

Any pre-existing medical conditions, physical limitations, or dietary requirements that may affect your travel must be disclosed to Astentours at the time of booking. We will make reasonable efforts to accommodate your needs, but cannot guarantee all requests can be fulfilled.

Changes & Alterations

Astentours reserves the right to make changes to itineraries, accommodation, transport, and other arrangements where circumstances beyond our control require it. Where significant changes occur, the Client will be notified promptly and offered an alternative arrangement or a proportionate refund.

Client requests to alter a confirmed booking are subject to availability and will incur an administrative fee. Name changes, date amendments, and destination alterations may be treated as a new booking.

Limitation of Liability

Astentours acts as an agent for hotels, airlines, transport companies, and other independent suppliers. We select these suppliers with care but accept no liability for any acts or omissions on their part, or for any accident, injury, loss, or damage occurring during the provision of their services.

Our liability shall in no event exceed the total amount paid by you for the booking in question. We shall not be liable for any indirect, consequential, or special damages of any nature.

Force Majeure

Astentours shall not be liable for any failure or delay in performance resulting from circumstances beyond our reasonable control, including acts of God, natural disasters, pandemics, war, terrorism, civil unrest, government restrictions, or strikes.

In such circumstances, Astentours will use reasonable endeavours to minimise disruption and assist the Client, but cannot guarantee refunds or compensation beyond what is expressly provided under these Terms.

Complaints & Disputes

Any complaint arising during travel must be reported to our local representative or support line immediately, allowing us the opportunity to resolve it. Failure to do so may limit our ability to investigate the matter.

Formal complaints must be submitted in writing within 30 days of the return date. Astentours will acknowledge receipt within 5 business days and endeavour to resolve all complaints within 28 days. Unresolved disputes may be referred to mediation before any legal proceedings are initiated.

Privacy & Data Protection

Astentours collects and processes personal data solely to fulfil your travel arrangements and as required by law. Your data will only be shared with suppliers directly involved in delivering your booked services, or with relevant authorities where legally required.

We will never sell your personal information to third parties for marketing purposes. Please refer to our Privacy Policy for full details.

Governing Law

These Terms and Conditions shall be governed by and construed in accordance with the laws of the jurisdiction in which Astentours is registered. Disputes that cannot be resolved amicably shall be submitted to the exclusive jurisdiction of the competent courts of that jurisdiction.

If any provision of these Terms is found invalid or unenforceable, the remaining provisions shall continue in full force and effect.
